Position Details

  • Hours: 8:30 AM - 5:00 PM EST (37.5 hours per week)
  • Start Date: ASAP
  • Pay Rate: $25.00/hr - $26.44/hr


Position Overview

Ultimate Staffing is assisting a well-established and growing client in Somerset, NJ in their search for a Service Administrator. This role is heavily focused on customer service, dispatching, and service contract administration. The ideal candidate will be detail-oriented, customer-focused, and comfortable managing service requests from intake through resolution. This position is more aligned with a dispatcher and service contract assistant role rather than an Executive or traditional Administrative Assistant.


Key Responsibilities

Customer Communication & Request Intake

  • Answer inbound phone calls and email requests from customers
  • Respond to basic service contract questions and confirm the correct region
  • Provide professional, timely, and customer-focused communication

Service & Repair Requests

  • Assist customers seeking repair service by obtaining:
    • Customer name
    • Equipment serial number
    • Description of issue
  • Check systems to confirm if a work order is already open
  • Follow up with Service Manager, Supervisor, or Engineer as needed
  • Confirm service agreement status
  • Create billable estimates:
    • Standard one-day estimates independently
    • Forward more complex estimates to the Manager or Supervisor
  • Open new work orders
  • Assign MS Specialist, Engineer, or Technician
  • Create initial service bookings

Service Agreement Support

  • Assist customers seeking service agreements
  • Confirm and update agreement details (location, contacts, contract level, etc.)
  • Create and send quotes and P.O. requests
  • Assist customers wishing to pay via credit card

Terms & Conditions Requests

  • Route customer requests for changes to Terms and Conditions t
  • Track and follow up as required

Work Order Closure & Regional Review

  • Close work orders during the Regional Review process
  • Perform Regional Review checks:

Qualifications

  • Previous experience in service administration, dispatching, customer service, or contract support
  • Strong verbal and written communication skills
  • Comfortable working within service or work-order management systems
  • Highly organized with strong attention to detail
  • Ability to manage multiple priorities in a fast-paced environment
  • Professional, customer-focused approach
